Event Planning Packet
Congratulations on booking your event with FCCLA!
Here’s a guide to assist you on your next steps towards planning your event.
(If you have not signed a contract, please refer to our Inquiry Form)
Review the checklist below and submit the online Questionnaire Form no later than 30 days prior to your event. Email the following documents to events@fccla.org: insurance, vendor rules/guidelines, timeline/show order, & floor plan.
Wedding Planning Packet
Venue Time Block
All of the following must take place within your contracted time block (refer to your contract if needed):
- arrivals/departures
- vendor load-in/out
- setup/breakdown
- sound checks (if needed)
If additional time is needed, client must schedule in advance. We suggest confirming the amount of time needed for setup/breakdown with your vendors. Early arrivals/time overages will be deducted from the security deposit on file.

Wedding Questionnaire
Access online form here: Wedding Questionnaire Form.
- Please submit the online form no later than 30 days prior to the event date. (Any updates my be sent 1 week prior)
Refer to our Rental Catalogues for inventory quantities when filling out the form.

The online form will not save an in-progress draft and you will be forced to start over.
Ceremony Music
- Client agrees to submit song selections to Venue at least thirty (30) days prior to the Event for approval.
- Refer to the FCCLA Wedding Ceremony Repertoire List when completing the music section of your Quesionnaire Form.
- If more than (2) songs are chosen that are not on Venue’s repertoire list, an additional "Organist fee" is applied per song.
- Any music selections not on FCCLA's repertorie list, client is resposible for providing the sheet music.
- Client may use guest musicians and vocalists during the Event. All guest musicians and vocalists must be present at a sound check thirty (30) minutes prior to the doors opening for the Event (“Sound Check”).
Insurance
Submit a valid Certificate of Insurance (COI) at least 30 days prior to your event, naming "FCCLA" as additional insured and waiving subrogation rights against Venue. Policies can be taken out from any accredited private company or your homeowners' insurance. Wedsafe.com & Eventhelper.com are also an option.
Vendor Rules and Guidelines Agreement
The church requires a signed copy of the Vendor Rules & Guidelines Agreement be on file for all participating vendors prior to their arrival on property. Vendors must complete all pages of the agreement and email events@fccla.org.
Floor Plan
Attach your reception floor plans as well as a summary of your setup for your events. You can find blank floor plan diagrams in .JPG & .PDF versions for each space in our Venue Rentals.

Digital Media Assets

FCCLA Events is excited to work with you to promote your upcoming event on our in-house channels. The following Digital Media Client Guide Sheet is designed to simplify communication between all parties involved so we can promote your event efficiently and effectively!
